What Is an API? Explained in Plain English for Business Owners

A jargon-free explanation of APIs and why they matter for your business software and integrations.

An API — Application Programming Interface — is simply a way for two pieces of software to talk to each other. That’s it. No jargon required.

A Real Example

When you check the weather on your phone, the app sends a request to a weather service’s API asking “what’s the weather in Manchester?” The API sends back the answer. Your app didn’t collect the weather data — it asked another system for it.

Why APIs Matter for Your Business

APIs let different systems share data automatically. Instead of manually exporting a CSV from one system and importing it into another, an API does it in real time.

  • Your website takes an order → API sends it to your accounting software.
  • A customer fills in a form → API adds them to your CRM.
  • An employee submits expenses → API creates a record in your finance system.
